CSA Pickup & Unclaimed Share Policy
To ensure the highest quality of produce and smooth operations at our community pickup locations, Tiny Seed Farm has established the following policy regarding share collections:
-
Day-of-Pickup Requirement: Members are expected to pick up their CSA share on the scheduled day of delivery during the specific hours listed for their chosen location.
-
Coordination for Delays: If you are unable to collect your share during the designated window, you must coordinate an alternative plan with both Tiny Seed Farm and the pickup location (e.g., Simon's Farm Market or Mayfly Market) in advance.
-
Unclaimed Shares: Unless prior arrangements have been made, any CSA box not collected by the end of the delivery day (or within 24 hours for locations with refrigeration, if approved) will be donated.
-
No Credits for Missed Shares: We cannot offer refunds or credits for shares that are not picked up without prior coordination, as these crops are harvested and packed specifically for your commitment.
Important Note on Communication
To avoid missed pickups, ensure your phone number is linked to your account, as the farm uses it to send out automated delivery and pickup notifications.
-
Service Recovery: If a box is missing or misplaced due to a farm error, we will respond quickly with either a replacement or a credit.
Pause and Hold Options
-
Self-Service Holds: Members can typically manage vacation holds and delivery adjustments directly through their Member Portal.
-
Double-Up Policy: If you need to pause your delivery for a week (e.g., for vacation), you can request to "double up" your share the following week to ensure you still receive your full season's worth of produce or flowers.
-
Notification Timeline: For manual adjustments or portal issues, it is best to contact the farm team via email at least 48 hours before your scheduled delivery or pickup to ensure the change can be processed.
Cancellation & Refund Policy
We understand that life happens! Because we are a small farm and our crops are planned months in advance based on your commitment, we have established the following policy for CSA share cancellations:
1. Administrative & Processing Fees
All cancelled orders are subject to a $25.00 Administrative Fee.
-
Why? This fee covers non-refundable credit card processing fees (which the bank keeps even when we issue a refund) and the labor required to manage the administrative change to our field and delivery rosters.
2. Cancellation Timelines
-
Before the Season Starts: You will receive a full refund of your share price, minus the $20.00 Administrative Fee.
-
During the First 3 Weeks: If you need to cancel once the season has begun, your refund will be pro-rated. You will be charged for the weeks already passed (regardless of whether the share was picked up) plus the $25.00 Administrative Fee.
-
After Week 3: We are unable to offer any refunds once the fourth week of the CSA has begun.
3. Alternatives to Canceling
If you can no longer participate but are past the refund window, we encourage you to:
- Request Farm Credit: This can be used at the farmers market or towards future shares.
-
Gift your share: Send a friend or neighbor to pick up your bounty!
-
Donate your share: Let us know, and we can ensure your weekly vegetables go to a local family in need.
